Supplier Terms & Conditions

Hood Tooling & Machine LLC

These terms and conditions apply to suppliers and external providers when flowed down by Hood Tooling & Machine LLC through a purchase order or other purchasing document. Requirements apply as applicable to the product, process, or service being provided.

Documentation for Special Processes

Suppliers performing special processes shall provide appropriate documentation demonstrating that the process conforms to applicable specification and contractual requirements. Required documentation may include:

·         Certificate of Compliance

·         Certificate of Conformance

Material Suppliers

Material certifications shall accompany product shipped against Hood Tooling & Machine LLC purchase orders when required. Certifications shall identify the material supplied and demonstrate conformance to applicable specification and purchase order requirements.

Packaging

Material and product shall be packaged appropriately for ground or air transportation and protected from damage, deterioration, contamination, and loss of product integrity during shipment. Hood Tooling & Machine LLC reserves the right to evaluate and disposition damaged product. Product determined to be unusable may be rejected and returned to the supplier at the supplier's expense for replacement, reprocessing, or other approved disposition.

Shipping

Shipping documents, including bills of lading when applicable, shall reference the Hood Tooling & Machine LLC purchase order number or applicable customer purchase order number. Shipments shall comply with applicable packaging and freight instructions.

These instructions apply to products and materials being delivered to Hood Tooling & Machine LLC unless written drop-shipment authorization or other shipping instructions are provided.

Counterfeit Parts Prevention

When applicable, suppliers shall maintain controls appropriate to prevent the use or delivery of counterfeit or suspect counterfeit parts or materials, including unauthorized copies, imitations, substitutes, or modified items knowingly misrepresented as genuine. If counterfeit or suspect counterfeit product is detected in items supplied to Hood Tooling & Machine LLC, the supplier shall notify Hood Tooling & Machine LLC within 24 hours and shall not release affected product without authorization.

Foreign Object Debris (FOD)

Suppliers shall maintain appropriate controls to prevent foreign object debris or contamination from affecting product or material supplied to Hood Tooling & Machine LLC.

Supplier Quality Requirements

As applicable to the purchase order, product, process, or service, suppliers shall comply with the following requirements:

1.     Approval requirements for products, procedures, processes, services, and equipment.

2.     Qualification and competency requirements for personnel performing work affecting product or service conformity.

3.     Applicable quality management system requirements.

4.     Identification and current revision status of specifications, drawings, process requirements, inspection or verification instructions, and other relevant technical data.

5.     Applicable requirements for design, test, inspection, verification, production process verification, statistical techniques for product acceptance, and critical items or key characteristics when specified.

6.     Applicable requirements for test specimens, including production method, quantity, storage conditions, and use for approval, inspection, verification, investigation, or auditing.

7.     Notification to Hood Tooling & Machine LLC of nonconforming product or service and obtaining approval for disposition when required.

8.     Notification to Hood Tooling & Machine LLC of changes to product, process, external providers, or manufacturing facility location, and obtaining approval when required.

9.     Flowdown of all applicable Hood Tooling & Machine LLC and customer requirements to the supplier's external providers and supply chain.

10.  Retention of applicable records for a minimum of 5 years, or longer when required by Hood Tooling & Machine LLC, customer, contractual, statutory, or regulatory requirements. Records shall be disposed of in accordance with applicable requirements.

11.  Right of access by Hood Tooling & Machine LLC, its customers, and applicable regulatory authorities to relevant areas of facilities and applicable records at any level of the supply chain involved in the order.

12.  Provision of certificates, test reports, inspection records, airworthiness certificates, or other required documentation when specified by the purchase order.

13.  Ensuring personnel are aware of their contribution to product or service conformity, their contribution to product safety, and the importance of ethical behavior.
